Actions

Info

The Info action is used to add notes to profiles, needs, customers and other items stored in the system. They will be displayed in the infobox.

The action can be customized to fit your preferences.

Calendar Entry

Choose if the option to create a calendar entry is pre-selected or completely disabled when adding the note.

Activation

This option allows to automatically suggest an activation or deactivation of the item in which the info is being saved.

Send email

If you select this option and provide an email or a list of emails separated by commas in the field below, they will be notified by email each time a note is added.

Profile submitted

The profile submit action is used to send profiles to customers.

Label (on, pending, off, cancelled)

Different types of validities can be enabled, allowing users to inform about the outcome of the action. As an example, after a profile was submitted, the customer could approve or reject it. Once labels are completed in the settings, they will be available in the action.

Profile email (on, pending, off, cancelled)

These settings allow to send emails once a validity is changed. As an example, an email can be sent to the profile once the customer rejected it. Validity email templates selected in the settings will be available to users changing the action validity.

Field (custom), Field type (custom)

An additional field can be added to actions. Once the field is labeled in the settings, it will appear in the action. The type of field can be chosen as well. If the type is a drop down, the list of options can be defined through the edit link.

Profile check

The profile check action allows sending candidates to colleagues to ask for feedback about them. As an example, a recruiter sources a candidate and wants to know which manager is interested in having an interview.

Name

The name of this action can freely be chosen.

Is status

When this option is selected, the Action will be listed among the profile statuses.

Feedback

The feedback field allows to define options that users can pick to give their feedback. The list of responses can be defined through the edit link.

Staffed

This settings allows to list profiles that are staffed for a project in the detailed view of profiles and needs.

Empty profile

This action clears data from profiles without deleting the profile completely from the database. It is used to comply with legal data requirements while keeping track of a processed candidate. Data cleansing can be done manually using this action or automatically according to defined GDPR settings.


To perform this action, appropriate permissions are required. Learn more about permissions.

By using checkboxes, you can specify which data to clear after executing the action. To preserve specific information after performing this action, simply check the corresponding checkboxes.

Assignment

This action is used to assign a profile to a customer project.

Activate

Enables the action in the system.

Dimension (Project, Customer)

Defines whether the client and project fields are hidden, optional or required when adding the action.

GDPR status

This action is used to manage candidate and customer consents for processing their data according to the GDPR regulation.

Activate

Enables the feature in the system.

Consent given (profiles, contacts)

Defines for how long personal data can be stored after a consent was given by a candidate or customer. If the consent isn't renewed after this duration, data will be cleared. [see empty profile]

Waiting for consent

Defines the maximum waiting period for a consent. Once reached, the data of the profile or customer will be automatically cleared (Empty profile section).

Apply GDPR to

Defines for which profile categories a consent is required.

Empty data of profiles / contacts without consent

Allows to define the data to remove if the consent is not given or once it expires.

Email Templates

Allows to configure email templates associated with different GDPR statuses.

Custom actions

Custom actions can be added to cover internal business processes. They can be related to profiles, needs, customers and projects. For example, if you want to add an extra step in the recruitment process or need special actions related to your customers, you can easily achieve this using custom actions. Furthermore, these custom actions can be used to generate detailed statistics and to filter for these processes.

Action group

This setting allows to group custom actions within the toolbox interface. Simply add a new group and assign it in the custom actions.

Actions can be assigned to previously created action groups.

Short name

Short names will replace the action name in the reports. For example, Qualification meeting could be displayed as QM in reports.

Name

Specify the name of the action.

Dimensions (Profile, Need, Customer, Project)

These options allow to specify which items are related to the action and if they are required to save the action.

Max (Profiles, Needs, Customers, Projects)

Defines the amount of items that can be added at once in each action. Infobox entries will be displayed separately once saved.

Activation (Profiles, Needs, Customers, Projects)

This option allows to automatically suggest an activation or deactivation of the items in which the action is being saved.

Constrain dimensions

This setting allows to block users from adding repeatedly the same actions. For instance, users can be blocked when trying to add several prospection meetings in the same customer. Block if in constraint dimension a constraint action has already been added within constraint days by the constraint user.


As an example, block if in contacts a prospection has already been added within 180 days by the all users.


Process

The process feature allows to overview the actions taken to staff profiles on needs. It displays the latest stages of the profiles positioned on needs.

Display process tab

This setting will enable the process tab, which will appear in the profiles and needs views within the infobox section after clicking on FILTER. Clicking on the Process-tab will display all the information in a separate table.

Actions

Defines the actions which are relevant in the sales process when positioning profiles on needs.
