Email templates

Email templates can be used to communicate with profiles and customers at various actions and changes occurring within the application. Placeholders will automatically complete the text with adequate information and users will be able to edit the text before sending. Email templates allow to save time and maintain consistency in terms of communication.

Access emails

Email template that is used when a login is sent to users.

Additional information about placeholders:

  • Salutation - Different values for Male, Female, and Select (no value) can be defined by clicking on the pencil icon.
  • URL - Internet address of your Unatrix instance.
  • Signature - Signature of the user who will send the login to the recipient.

How to add a new email template

The links to add new templates are separated by type at the bottom of the list. Below, we'll outline the differences between the types and how to create them.

Interview / Status

They are linked to profiles and refer to status changes and interviews. When creating an email template, it is necessary to connect it with specific statuses or stages of the interview. Once such a status change occurs in the profile, the associated email template is suggested to the user performing the change.

Email template tips:

  • Salutation - Different values for Male, Female, and Select (no value) can be defined by clicking on the pencil icon.
  • URL - Internet address of your Unatrix instance.
  • Signature - Signature of the user who will send the email to the profile.
  • Interviewer (intro) - Different values for male, female, and select (no value) can be defined for the interviewer by clicking on the pencil icon.
  • Attachments - Files uploaded will be attached to each email.

Profile submitted

These email templates are linked to the Profile submit action. Available email templates will be suggested to the user performing this action and can be sent to customers.

Email template tips:

  • Salutation - Different values for male, female, and select (no value) can be defined by clicking on the pencil icon.
  • Need-ID - ID of the need linked to the action.
  • Signature - Signature of the user who will send the email to the customer.

Validity

These email templates can be used when the validity of an action is changed. Available templates can be selected in the action settings.

GDPR (profiles / contacts)

GDPR templates are designed to assist in inquiries regarding data processing, both for profiles and customers. Templates for requesting the consent and to confirm receipt of the consent can be defined.

Distribution lists

Distribution lists can be used to include several users at once in different actions, instead of entering each one manually.

Adding a new distribution list

New distribution lists can be created by clicking the +New button. After defining the name of the list, its members can be selected. Only users with an account in Unatrix can be added.

Email settings

These settings allow you to configure email sending in the application. To ensure that notifications in Unatrix are sent from your domain and that emails sent by users to, e.g. candidates, are also sent from their respective domains, follow these steps as shown in the screenshot:

Following these settings will send all system notifications from your specified domain, enhancing professionalism and consistency. Additionally, if users have set their email addresses in the signatures with a domain verified here, emails such as interview notifications will be sent from the user's email address rather than the general domain email.


Once all details are entered, you can test the email settings by clicking Send test email and then save the configuration by clicking Save.
