Profile actions

Access to actions depends on the permissions assigned to the user.

Profile actions are executed using links in the toolbox. Each action performed is recorded in the infobox, providing a detailed overview of the activities carried out with the profile and informing about upcoming ones.

The Toolbox is structured in two levels. The first one allows a quick access to most frequently used actions. The second one displays all available actions. Actions listed in the quick access can be defined through the edit shortcuts link. They can be ordered, removed or added to the quick access using icons.

If an action is performed within a Profile overview, the profile will be selected automatically. If performing the action from the Profile list, the profile can be selected first on the left of its name or selected afterwards in the dialog.

Add profile

Opens a form to add a profile to the database. Learn more about adding profiles.

Activate/Deactivate profile

Activates and deactivates profiles. Active profiles are displayed with a green dot, inactive profiles with a red one.

Bookmark profile

Adds a profile to the Bookmarks tab of the user.

Delete profile

Deletes the profile permanently.

Profile export

Profile data can be exported into files with several formats. The data to be exported is defined using customisable templates. Read more about profile export here.

Info

The Info link is used to add a note to the profile. It can be added through the Toolbox or through the corresponding link on the Infobox section in the profile overview. Participants can be added on top, they will be notified by email about this action and the comments added to it later on. The editor is used to add a note which can be formatted. Selecting the Calendar entry option will send a calendar invitation to the user performing this action. The profile in which the note will be added can be selected in the Profiles field.

Once saved, the info action will be added in the infobox.

Status

The Status link is used to change the Status of a profile. Email templates can be used to inform the profile.

Several profiles can be managed at once in the form. While displaying the current Status, the new one can be selected. If an email template is associated to the new Status, it can be selected in this view. Emails can be sent at once (default) or scheduled in the future by picking a Send date.

Save & Preview allows the user to verify and edit each email to be sent.

Save & Send skips the verification step and sends all emails at the defined send date. Once saved, the Status action will be added to the infobox, including the email if used.

Attribute

The Attribute link is used to attribute the Profile to a Recruiter.

The User to which the Profile should be attributed is specified in the To field. Participants can be added then, they will be notified by email about this action and the comments added to it later on. The Description field allows leaving information regarding the attribution. The Profile to be attributed can be selected in the Profiles field.

Attribute (entity)

The Attribute (entity) link is used to attribute the Profile to an Entity.

Participants can be added, they will be notified by email about this action and the comments added to it later on. The Entity to which the profile should be attributed can be selected then. The Description field allows leaving information regarding the attribution. The profile to be attributed can be selected in the Profiles field.

Application

The Application link is used to manually inform that a profile applied to a job.

The date and time of the application is defined on top. Participants can be added, they will be notified by email about this action and the comments added to it later on. The Description field allows leaving information regarding the application.

The Profile that applied can be selected in the Profiles field, as well as the Job to which it applied. If a Need is linked to the Job, it will be populated automatically.

Empty data

The Empty data link is used to remove data from a profile to comply with regulations, without deleting it completely. The data that remains can be defined through the settings.

GDPR status

The GDPR status link is used to update the status of a profile regarding its consent to store its data. The GDPR feature can be enabled in the settings. Once a status is selected, email templates are suggested to inform the profile.

Following statuses can be set:

  1. Waiting for consent - the profile has to confirm its consent within a defined amount of days, its data will be emptied otherwise. An email to request the consent has to be sent.
  2. Consent given - the profile gave its consent for a defined amount of days, it will have to be renewed before expiry to avoid emptying its data. A confirmation email has to be sent to the profile.
  3. Consent refused - the profile refused to give its consent, its data will be emptied immediately. No email has to be sent

Profile to need

The Profile to need link is used to assign a profile to a need. If performed by a user responsible for the need, the profile will be selected. If another user is responsible for the need, the profile will only be suggested. The responsible user for the need gets notified and is able to select or reject the suggestion.

The dialog allows to filter and choose the Needs on which the profile should be assigned. It also displays needs on which the profile is already assigned. A message can be added before confirming.

The assignments are displayed in the needs section of the profiles as already attributed.

Interview

The Interview link is used to perform an interview action with selected profile.

In the dialog, user can enter the interview details and send a pre-written email to the candidate. At this stage, the information will be saved in Unatrix, the candidate will receive an email with the details, and the interview date and time will be added to the interviewer's calendar, if selected.

The entry created in the Infobox can be edited at any time to include additional information, such as salary or assessment. The interview entry can also be modified, postponed, or cancelled, and any updates will automatically be reflected in the interviewer's calendar, if applicable.

A dedicated form allows to add feedback after the interview. It is available through the corresponding link in the infobox entry and in the calendar invite sent to the interviewer.

Submit profile

The Submit profile link is used to send a profile to a customer, or just to inform that it has been sent. The date and time on which the profile was sent can be defined. Participants can be added, they will be notified by email about this action and the comments added to it later on. Several profiles and available uploads to be sent can be selected. Export templates can also be used in this step. The need and contact can then be selected.

Validities, allowing users to inform about the outcome of the action, can be customised in the settings with appropriate permissions.

An email template can then be selected and edited to be sent to the Customer.

Profile check

The Submit profile link is used to collect feedback from other users about profiles.

The colleagues that should send feedback need to be added to the Participants. A description can be added for further details. One or several profiles can be selected for which the feedback is being requested.

Users involved are able to give their feedback through values that can be defined in the settings.

Category

The Category link is used to change the category of profiles.

Participants can be added, they will be notified by email about this action and the comments added to it later on. The new category needs to be selected. A description can be added for further details. One or several profiles can be selected to which the category will be applied.

Custom actions

Custom actions can be added through the settings to cover recurring company processes, as qualification meetings. The links will appear in the Toolbox if accessible to the user.
